Challenge
The client, a large financial institution, needed help organizing the launch and ongoing support of an initiative in which 10 divisions and underlying lines of business within the bank would have a new home page on the corporate intranet. The client needed to determine how to support the rollout of about 100 new pages on its SharePoint intranet environment over an aggressive six-month period. The goal of the overall project was to create one standardized design and layout for each landing page, with content customized to each division and/or line of business (LOB). On-time completion was imperative.
Experis Solution
During a two-day onsite meeting, Experis Solutions conducted a discovery workshop to examine and understand the current state of the process, as well as discover and define process elements needed to reach objectives.
Day One consisted of interviews, collateral review, and existing process review that helped Experis understand the background and details about the project. Day Two was devoted to collaborative solution-shaping, as well as planning and road-mapping to develop a build-and-deploy plan for pages and a training plan.
After the workshop, Experis delivered a Comprehensive Training Plan and an Onboarding Process Review, along with a recap presentation to the client. The Onboarding Process Review addressed preparation, access management, and content management. The Comprehensive Training Plan provided detailed short- and long-term approaches to training:
• Training Needs and Assessment
o Target Audience
o Task Analysis
o Outcomes Assessment
• Implementation Plan
o Training Types
o Training Material
o Training Content Assumptions
• Strategic Alignment & Quality Management
• Sustainability
o Pilot
o Ongoing QT & QA
• Training Production & Instruction
• Training Schedule
• Student Body
• Cost Estimates
Experis also recommended other services the client should consider:
• Process Manual Creation
• Training Material Creation/Management
• Onboarding Support/Coordination
• View Creation
• Future Compliance
• Reduced costs
Results
The client implemented the custom internal home pages in SharePoint for its divisions, moving toward its goal to migrate divisions away from 79 different intranet sites and onto a standard SharePoint platform with a consistent design and information architecture. The 10 divisions each have pages that represent their business units. Each Team Member Portal group provides initial SharePoint content pages; divisions require one to 30 pages each. Experis provided talent to support migrating content and testing, and retainer-based support to the client based on the successful strategy engagement.
