Program Operations Coordinator

Our client, Leadership & Organizational Capability programs is seeking a Program Operations Coordinator to join their team. As a Program Operations Coordinator, you will be part of the Program Operations team supporting end-to-end delivery execution across the U.S. portfolio. The ideal candidate will have strong organizational and planning skills, clear written and verbal communication, and the ability to manage multiple priorities while keeping schedules, stakeholders, and learning experiences on track.

What's the Job?

  • Own and maintain the U.S. program delivery portfolio schedule as the operational source of truth, ensuring delivery readiness across facilitators, contractors, locations, resources, and key dependencies.
  • Coordinate delivery logistics end-to-end, including facilitator and room readiness, materials management, participant communications, and day-of support for both virtual and in-person programs.
  • Manage participant and learning administration tasks such as enrollment support, rosters, invitations, reminders, attendance records, and completion tracking.
  • Administer external learning platforms by supporting participant uploads on a defined cadence and maintaining operational records for platform administration.
  • Produce routine operational reports and data insights by consolidating information from approved sources (including Workday and Power BI where access is provided) and escalating risks or scheduling conflicts proactively.

What's Needed?

  • Demonstrated experience in program operations, learning operations, project coordination, or a comparable operational support role, preferably within a global organization.
  • Strong organizational and planning skills with the ability to manage multiple priorities, schedules, stakeholders, and deadlines simultaneously.
  • Proven ability to coordinate complex activities across facilitators, vendors, participants, and business stakeholders while maintaining accuracy and attention to detail.
  • Strong written and verbal communication skills, with the ability to work effectively across functions, regions, and levels.
  • Proficiency with Microsoft 365 (Outlook, Teams, Excel, PowerPoint, SharePoint) and Power BI, plus the ability to work independently and exercise sound judgment in a fast-paced environment.
