Schedule: Onsite | Monday – Friday | 40 Hours/Week
Position Overview
We are seeking an experienced Administrative Support Assistant to provide high-level administrative and operational support within a fast-paced manufacturing environment. In this role, you will perform complex administrative tasks, manage purchase orders (POs), coordinate with cross-functional teams, and partner with facilities, HR, IT, and external vendors to drive site efficiency.

Key Responsibilities

Operational & Purchase Order Support: Process purchase orders (POs), assist with expense tracking, cost allocation, and support operational documentation.

Cross-Functional & Vendor Coordination: Serve as a liaison between internal teams and external vendors to coordinate building maintenance, site repairs, and operational projects.

Reporting & Data Management: Conduct research, compile operational data, track site KPIs, and prepare reports, dashboards, and executive presentations.

Office & Workspace Logistics: Manage calendar scheduling, meeting logistics, mailroom operations (incoming/outgoing shipments), and coordinate site events and trainings.

Onboarding & HR Support: Assist HR and Talent Acquisition with interview scheduling, workspace setup, and coordinate with IT for equipment readiness and access.

Document Control: Maintain physical and electronic filing systems in compliance with company policies and regulatory guidelines.
Qualifications & Requirements
Minimum Requirements:

Experience: 2–3 years of administrative or operational support experience (preferably in a manufacturing, biotechnology, or industrial production setting).

Purchase Orders: Hands-on experience processing Purchase Orders (POs).

Technical Proficiency: Strong proficiency in the Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).

Core Competencies: Exceptional organizational, time-management, written, and verbal communication skills.

Independence: Demonstrated ability to manage competing priorities with minimal supervision and exercise sound independent judgment.
Preferred Qualifications:

Experience using SAP or other enterprise ERP systems.

Experience working with facilities teams, vendor management, and tracking site KPIs.

Background supporting site leadership or senior executives.
Employment Terms

Strictly W2 Only (No 1099 / C2C / Agencies).

100% Onsite: Requires full-time onsite presence Monday through Friday.
