Schedule: Monday – Friday, 9:00 AM – 5:00 PM (35 hours/week)

Position Overview
A prestigious academic institution in Manhattan is seeking a proactive, highly organized Finance Office Assistant / Executive Assistant to provide executive support within its Office of Financial Management. Serving as a primary point of coordination for executive leadership, academic centers, and committees, this role requires exceptional administrative precision, financial tracking capability, and professional discretion in a fast-paced environment.
Key Responsibilities

Executive Administrative Support: Deliver high-level administrative support to executive leadership, managing complex calendar scheduling, meeting confirmations, and briefing material preparation.

Office & Operational Management: Oversee daily office workflows, including phone and email triage, file maintenance, inventory tracking, and general correspondence.

Financial Administration: Assist with budget monitoring, process reimbursements and vendor payments, and build/modify financial tracking spreadsheets.

Travel & Event Logistics: Coordinate travel itineraries and visitor logistics; set up Zoom sessions and prepare physical and digital materials for committee meetings.
Qualifications

Education: Bachelor’s Degree required.

Experience: Proven administrative or executive support experience, preferably within higher education, academic finance, or corporate finance environments.

Technical Proficiency: Advanced skills in Google Suite (Docs, Sheets, Calendar), MS Office, and Zoom.

Communication & Discretion: Excellent written/verbal communication skills with proven ability to handle sensitive financial data confidentially.
