Administrative Assistant III

Our client, a dynamic enterprise organization, is seeking an Administrative Assistant III to join their team. This unique role combines executive-level administrative support with fulfillment and operational coordination for corporate promotional initiatives. The ideal candidate is proactive, detail-oriented, and comfortable balancing multiple priorities in a fast-paced, collaborative environment, with a willingness to take initiative and contribute wherever needed to support team success.

Job Title: Administrative Assistant III

Location: Baltimore, MD (Onsite)

Pay Range: $20/hr - $24/hr

What's the Job?

  • Provide administrative support to leaders and managers, including calendar management, meeting coordination, travel arrangements, expense reporting, and stakeholder communications.
  • Prepare and distribute presentations, reports, correspondence, meeting materials, and other business documentation while maintaining departmental records and SharePoint sites.    
  • Serve as a key point of contact for internal and external stakeholders, coordinating meetings, materials, and follow-up activities.  
  • Process fulfillment requests and coordinate the shipment, tracking, and delivery of materials supporting corporate business initiatives.
  • Manage inventory and fulfillment operations, partnering with vendors, carriers, and internal teams to ensure materials and assets are available, tracked, and deployment-ready.
  • Coordinate printing, assembly, and distribution of business materials while ensuring accuracy, approvals, and adherence to established standards.  
  • Maintain invoice and financial records; support budget tracking and ensure documentation is organized, accurate, and accessible.
What's Needed?
  • 5+ years of administrative support experience in a large corporate or enterprise environment, supporting senior leaders with calendar management, meeting coordination, travel, and expense reporting; experience supporting working with executives highly preferred.
  • Strong organizational and problem-solving skills, with the ability to manage competing priorities, work independently, and support cross-functional teams in a fast-paced environment.
  • Excellent communication and interpersonal skills, with exceptional attention to detail and the ability to provide professional support to stakeholders at all levels.
  • Experience preparing presentations, reports, correspondence, and other business documentation while maintaining records, invoices, and administrative data with accuracy and professionalism; trusted to handle confidential information with discretion.
  • Preferred experience coordinating operational, logistics, inventory, or fulfillment activities.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), and SharePoint.
  • High school diploma or GED required.
