Position Overview
We are seeking an organized, proactive, and detail-oriented Jr. Legal Administrative Assistant to join a corporate Legal Department in Chester, NY. This role provides critical administrative, clerical, and operational support to the legal team, ensuring smooth workflow management, accurate contract data tracking, and efficient daily department operations.
The ideal candidate possesses strong proficiency with Microsoft Office applications, excels at multitasking in a fast-paced setting, and handles confidential information with discretion and professionalism.
Key Responsibilities

Legal & Departmental Support: Provide comprehensive administrative and clerical support to the corporate legal team, assisting with department projects and daily operational tasks.

Invoicing & Expense Management: Process department invoices using Basware and prepare travel/expense reports via Oracle.

Scheduling & Travel Coordination: Coordinate schedules, arrange hotel reservations and travel logistics, schedule conference calls, answer incoming inquiries, and manage message routing.

Contract Data Management: Accurately enter and update contract data in tracking systems in a timely manner to maintain high data quality standards.

Document & Report Preparation: Collect sensitive and confidential information to compile and prepare accurate departmental reports.

Data Computation & Analysis: Perform fundamental mathematical computations and tabulate financial or contract data using Microsoft Excel.

Front Desk Coverage: Participate in the front desk coverage rotation to greet visiting employees, guests, and vendors in a welcoming, professional manner.
Position Requirements

Education: High School Diploma or GED required.

Legal Admin Experience: 2+ years of administrative experience supporting a legal department or law firm environment is strongly preferred.

Software Proficiencies: Solid general computer proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with ERP/financial software (e.g., Oracle, Basware) is a plus.

Core Skills: Outstanding organizational, analytical, and time-management skills with a sharp attention to detail.

Communication: Clear and effective written and verbal communication skills across all organizational levels.

Flexibility: Ability to work flexible hours/overtime as needed to support business deliverables.

Work Location: Ability to work 100% onsite in Chester, NY 10918.
