Executive Admin Assistant

Our client, a leading technology organization, is seeking an Executive Admin Assistant to join their team. As an Executive Admin Assistant, you will be part of the Administrative Support Department supporting senior leadership. The ideal candidate will have excellent organizational skills, strong communication abilities, and a proactive mindset which will align successfully in the organization.

Job Title: Executive Admin Assistant

Location: San Jose, CA

What's the Job?

  • Support senior executives by managing their calendars, scheduling meetings, and organizing logistics for both internal and external engagements.
  • Coordinate speaking engagements, prepare travel briefings, and handle international and domestic trip arrangements.
  • Assist in planning and organizing large corporate events, workshops, and team activities.
  • Prepare and disseminate correspondence, act as a proxy for approvals, and handle confidential matters with professionalism.
  • Support special projects by conducting research, analyzing data, and preparing reports for executive review.

What's Needed?

  • Minimum of 4+ years of experience in an administrative environment supporting senior leadership.
  • At least 2 years of experience supporting Vice Presidents or Executive Vice Presidents.
  • Expert knowledge of Windows applications including Outlook, Word, Excel, and PowerPoint.Proven experience in calendar management, meeting planning, and travel coordination.
  • Outstanding verbal and written communication skills with the ability to connect across all levels of staff and clients.
