Pay Rate: $24.00 – $27.00 / hr W2
Duration: Through January 2027 + Potential Extension

Position Overview
We are seeking an organized, detail-oriented, and proactive Operations Coordinator to join a premier financial intelligence and energy analytics organization in New York, NY. In this role, you will provide critical logistical support to pre-plan and execute the NextGen program at CERAWeek.
As the ideal candidate, you possess strong self-starting organizational skills, thrive in a fast-paced environment, and skillfully manage multiple event deliverables and project dependencies simultaneously. This role reports to the Director of Strategic Development with a primary focus on pre-planning, cohort coordination, and seamless event execution.
Key Responsibilities
- Strategic & Program Support: Support the Director of Strategic Development to plan, communicate, and execute all NextGen initiatives and project roadmaps.
- Cohort Management: Assist with all activities for the NextGen Cohort, including participant selection, communications, travel/accommodations, onsite engagement, and activity scheduling.
- Event Logistics & Onsite Prep: Orchestrate event details to ensure a seamless NextGen at CERAWeek experience. Oversee the allocation and management of meeting spaces for NextGen activities.
- Deliverables & Vendor Coordination: Coordinate catering, inventory, signage, and collateral specific to NextGen requirements. Ensure all deadlines and project dependencies are precisely met.
- Registration & Attendee Support: Support registration workflows tailored specifically to NextGen participants using specialized event platforms.
- Ad-Hoc Operational Support: Provide flexible operational support for additional NextGen tasks, special events, and executive requests as needed.
- Experience & Education: Bachelor’s degree in a relevant field and/or 2–5 years of experience in event planning, operations coordination, or project support (experience with academic, educational, or conference events is preferred).
- Organizational Mastery: Proven organizational and time-management skills with a history of managing multiple projects to precise deadlines within budget constraints.
- Software & Event Tools: Proficiency in Microsoft Office Suite and familiarity with cloud-based event/project management applications (e.g., Airtable, Monday.com, RainFocus, or virtual event interfaces).
- AI Tool Familiarity: Comfortable working in AI-enabled environments (e.g., Copilot, NotebookLM, Gemini) to streamline documentation and workflows.
- Relationship & Communication Skills: Exceptional written and oral communication skills with a dynamic personality capable of building strong relationships across all organizational levels and academic communities.
- Travel Flexibility: Ability to travel domestically and internationally as needed to represent NextGen and CERAWeek.
- Independence: Ability to work independently with minimal supervision in a demanding yet rewarding environment.
