Position Overview

We are seeking an experienced and customer-focused Patient Services Representative with a strong background in Oral Surgery, Private Practice operations, and Dental Insurance Processing to join a premier dental clinic in New York, NY (10003).

In this role, you will serve as the primary point of contact for patients, manage daily clinic flow, handle patient scheduling and emergency triaging, process dental insurance claims, and support administrative operations within a high-volume clinical environment.

Key Responsibilities

  • Patient Experience & Reception: Provide exceptional first-line customer service to clinic patients, including greeting, check-in/check-out, routing, and answering inquiries.

  • Clinic Operations & Student Support: Monitor daily clinic workflow within established guidelines. Assign, review, and assist in training student assistants and casual staff on routine tasks.

  • Appointment Scheduling & Triaging: Assign patients to dental students, maintain student and patient appointment books, triage dental emergencies, and arrange substitute patients when cancellations occur. Follow up to schedule necessary re-examinations.

  • Dental Insurance & Financial Processing: Execute proper processing of health and dental insurance transactions, perform dental insurance verification/processing, calculate co-pays and patient balances, and perform cashier/payment collection duties.

  • Records & Policy Support: Update and maintain patient charts, electronic health records, and administrative files. Provide actionable suggestions to improve clinic policies, workflows, and procedures.

  • Complex Inquiry Resolution: Investigate and resolve specialized patient or insurance inquiries requiring in-depth operational or dental knowledge.

Position Requirements (MUST-HAVES)

  • Oral Surgery & Private Practice Experience (STRICT MUST-HAVE): Prior experience working in an Oral Surgery clinical setting and Dental Private Practice environment.

  • Dental Insurance Processing: Hands-on experience verifying, submitting, and processing dental insurance claims, pre-authorizations, and patient billing calculations.

  • Front Desk & Scheduling: Proven success managing high-volume scheduling, emergency triaging, and front-desk reception duties in a dental/medical academic or private practice setting.

  • Technical & Administrative Skills: Strong proficiency with dental practice management software (e.g., AxiUm, Dentrix, Eaglesoft, or similar), MS Office/Google Workspace, and electronic health records (EHR).

  • Communication & Organization: Excellent interpersonal, verbal, and written communication skills with strong attention to detail and problem-solving abilities.
