Contract Administrator
We are seeking a highly organized and detail-oriented Contract Administrator to support music licensing and talent-related operations within a leading global gaming and entertainment organization. This role is responsible for managing contracts, supplier onboarding, purchase orders, invoice processing, rights documentation, and stakeholder communications while partnering closely with Legal, Finance, Procurement, Creative Studios, and external vendors.
The ideal candidate thrives in a fast-paced environment, enjoys coordinating across multiple teams, and has experience managing operational processes from intake through completion.
Key Responsibilities:
• Perform a variety of complex administrative and operational projects with a primary focus on contract administration.
• Review contracts and extract key business data for formatting, tracking, and entry into contract management systems.
• Maintain accurate contract records and perform data entry into contract databases.
• Manage music licensing and talent-related operational requests from intake through completion.
• Coordinate supplier onboarding activities and vendor management processes.
• Create and manage purchase orders and support invoice processing and reconciliation.
• Track rights documentation, deliverables, approvals, and contract milestones.
• Organize workflows and monitor documentation submitted across multiple departments.
• Coordinate contract reviews through meetings, conference calls, and email communications.
• Partner with Legal, Finance, Procurement, Creative Studios, and external suppliers to ensure timely execution of agreements.
• Serve as a point of contact for internal stakeholders regarding Contract Management & Compliance processes.
• Support process improvement initiatives and operational excellence efforts.
• Perform other duties as assigned.
Qualifications
Required:
• 3+ years of experience supporting contracts, procurement, licensing, legal operations, business operations, vendor management, or project/program coordination.
• Experience working in a high-volume environment managing contracts, purchase orders, invoices, and stakeholder communications.
• Strong organizational skills with exceptional attention to detail.
• Ability to manage multiple priorities and deadlines simultaneously.
• Excellent written and verbal communication skills.
Preferred:
• Experience in entertainment, music, gaming, media, or legal operations.
• Familiarity with contract management systems and procurement workflows.
• Experience collaborating with cross-functional teams in large organizations.
