Position Summary
We are seeking an experienced Administrative Assistant III to provide high-level administrative and organizational support in a fast-paced corporate environment. The ideal candidate will have strong multitasking abilities, excellent communication skills, and experience supporting meetings, travel coordination, expense reporting, and confidential administrative functions. This role also includes assisting with sample shipment coordination and event support.
Key Responsibilities
- Provide administrative and secretarial support to assigned teams and leadership.
- Coordinate meetings, conference calls, and in-person appointments.
- Communicate meeting schedules and details to all participants.
- Arrange domestic and international travel as needed.
- Prepare and submit expense reports.
- Assist with event planning and coordination.
- Coordinate and track sample shipments and distribution.
- Handle confidential information with professionalism and minimal supervision.
- Support special projects and additional administrative tasks as assigned.
- Manage multiple priorities while meeting deadlines.
Required Qualifications
- 2–4 years of administrative assistant or executive support experience.
- Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organizational and time management skills.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Strong verbal and written communication skills.
- Ability to interact professionally with employees at all organizational levels.
- Experience handling confidential information with discretion.
Preferred Skills
- Experience coordinating travel and expense reporting.
- Event planning or coordination experience.
- Logistics or shipment coordination experience.
- Strong attention to detail and problem-solving skills.
- Ability to work independently with minimal supervision.
Work Environment
- Hybrid schedule (3 days onsite, 2 days remote)
- Part-time position
- Standard workday beginning around 9:00 AM
