Our client, a leading investment management firm, is seeking an Office Coordinator to join their team. As an Office Coordinator, you will support the daily operations and maintenance of the office environment, ensuring a safe, organized, and welcoming workplace for staff and visitors.
This role involves collaborating closely with the Office Manager to support effective and efficient office operations, including proactive space management, guest services, facilities support, and assistance with office events and special projects.The ideal candidate will demonstrate strong organizational skills, proactive problem-solving, and excellent communication abilities, which will align successfully within the organization.

Location: New York, NY (5 Days Onsite)
Job Type: Contract
Pay Range: $32/hr - $35/hr
What's the Job?
- Manage guest access by adding visitors to the portal, greeting and escorting arrivals, and ensuring a positive experience.
- Handle mail, packages, and stationery inventory; coordinate pickups and complete light errands as needed.
- Oversee kitchen operations, including stocking food, beverages, and supplies; maintain cleanliness; and support team meals and events.
- Set up and maintain office décor for events and shared spaces; provide basic AV and equipment support in partnership with the AV team.
- Coordinate with Corporate Security & Physical Safety on alarm system management and share workspace-impacting updates with the team.
- Partner with the Facility Coordinator to monitor and address cleanliness and supply needs in bathrooms and conference rooms.
- Support meetings and events through meal setup, cleanup, and coordination of facility logistics.
- Monitor office conditions (lighting, temperature, space setup) and submit service requests as needed; coordinate with the Facility Coordinator on follow-through.
- Assist with special projects and initiatives as needed.
What's Needed?
- Office Coordination/Management experience, with experience supporting daily office operations within fast-paced enterprise environments.
- Demonstrates a polished professional demeanor with proven ability to foster a positive and cohesive workplace community.
- Excellent communication skills with ability to partner with cross-functional teams for issue reporting, escalation, and guest interactions.
- Ability to manage office supplies/inventory, perform light errands, support event logistics, stock food kitchen supplies, handle food with proper kitchen hygiene.
- Strong organizational and attention to detail skills with success multi-tasking in high paced environments.
- Brings a creative approach with event support, office decorations and presentations.
- Basic troubleshooting skills for office technology and equipment.
